The Swiss QR-bill: how it works
The QR-bill is the standard used in Switzerland to issue and pay invoices ever since the old red and orange payment slips were withdrawn. It is not just a cosmetic change: it is a system designed to automate payments and their reconciliation in the accounts. Every SME that invoices in Switzerland needs to know how to use it well, both when issuing and when receiving.
What it is, in concrete terms
The QR-bill is an ordinary invoice with a payment part built into the lower section, featuring a Swiss QR code in the middle, recognisable by its white cross. That code contains all the data needed for payment: amount, currency, the beneficiary’s IBAN, address and — where present — the reference that identifies the invoice.
Whoever receives the invoice no longer has to type in the details by hand: they scan the code with their bank’s app or import it into their payment software, and all the fields are filled in automatically. This drastically reduces typing errors and misallocated payments.
The structure of the document
The QR-bill is made up of three parts that are worth distinguishing:
- The invoice itself, with the description of the services, the VAT and the terms.
- The receipt, at the bottom left of the payment part.
- The payment part, on the right, with the Swiss QR code and the data also legible by eye.
The payment part is standardised: its dimensions, fields and position are defined so that banks and software read it uniformly throughout Switzerland.
QR-IBAN and QR reference
Here lies a distinction that often causes confusion:
- Normal IBAN + free reference (or no reference): the account’s usual IBAN is used. This is the simplest solution.
- QR-IBAN + QR reference: the QR-IBAN is a special number (recognisable by the QR service provider identifier) paired with a structured reference that uniquely identifies the individual invoice. It is the equivalent of the old orange slip with a reference number.
The QR reference is the true engine of automation: when the customer pays, that number comes back on the bank statement and allows your software to match the payment automatically to the open invoice. For anyone issuing many invoices, it is the difference between reconciling by hand and letting the system do it.
The benefits for accounting
The value of the QR-bill shows above all in the sales cycle:
- Automatic reconciliation of receipts thanks to the QR reference.
- Fewer errors in allocation and fewer “orphan” payments to hunt down by hand.
- Easier reminders, because the status of each invoice is clear and up to date.
- Less manual work on the receiving side too, since payments to suppliers are prepared by scanning the code.
On the VAT side, nothing changes in substance: the standard rate remains 8.1% and the QR-bill reports the amounts like any other invoice. The QR code concerns the payment, not the calculation of the tax.
Mistakes to avoid
- Confusing IBAN and QR-IBAN: using a QR reference with a normal IBAN, or vice versa, generates rejected or non-reconcilable payments.
- Reusing the same reference for different invoices: each invoice must have a unique reference, otherwise automatic matching breaks down.
- Printing the payment part non-compliantly: wrong dimensions or position make the code illegible to counters and bank readers.
- Incomplete beneficiary data: a missing address or IBAN blocks the payment.
Issuing QR-bills in practice
Practically all invoicing and accounting software in use in Switzerland generates compliant QR-bills. The choice between a simple IBAN and a QR-IBAN depends on volumes: those issuing few invoices can make do with a normal IBAN, while those issuing many draw great benefit from the QR-IBAN with a structured reference, which makes reconciliation almost entirely automatic.
How we work
At SIH ONE we set up the invoicing cycle so that it truly leverages the QR-bill: QR-IBAN and structured references where they are needed, and reconciliation of receipts handled automatically. Incoming and outgoing payments are pre-processed by our AI systems and validated by a qualified professional, so that accounts receivable and payable stay aligned without repetitive manual work.
Want an invoicing cycle that reconciles itself? Let’s set it up together.
