AI assistants with RAG: automating answers
A generative AI model, on its own, does not know your company: it does not know what your standard contract says, what your internal procedures are, or the answers to your customers’ frequently asked questions. And if you ask it, it tends to invent a plausible answer. RAG exists precisely to bridge this gap: to make the AI answer from your documents, not from its generic memory. It is the technique that makes AI assistants genuinely useful in a business. Let’s see how it works and where it makes sense.
What RAG is, without the jargon
RAG stands for Retrieval-Augmented Generation: generation enhanced by retrieval. The mechanism, in three steps:
- When a question arrives, the system searches your documents for the most relevant passages.
- It supplies those passages to the AI model together with the question.
- The model generates the answer based on that material, and can cite the source.
The difference compared with a generic chatbot is substantial: the AI does not answer “from memory”, but starting from your up-to-date content. This greatly reduces hallucinations and makes it possible to verify the answer by tracing it back to the source document.
Why a generic chatbot is not enough
An assistant based on the model alone has three limitations that RAG addresses:
- It does not know your data: it has never seen your manuals, price lists or policies.
- It is not up to date: its knowledge stops at a certain date and does not include what has changed in the company.
- It invents with confidence: when it does not know, it still produces a credible-sounding answer.
With RAG, company knowledge is updated simply by updating the indexed documents, without touching the model. It is the practical way to have an assistant that talks about your reality.
Concrete use cases in an SME
The areas where a RAG assistant delivers most are those with many repetitive questions and an already existing document base.
- Customer support: answers to frequently asked questions based on manuals, FAQs and terms, with the source a click away.
- Internal support: staff query procedures, HR policies and technical documentation instead of searching by hand.
- Document search: finding the right clause in seconds among hundreds of contracts or reports.
- Onboarding: new staff getting immediate answers about company processes.
The benefit is not replacing people, but freeing up time from repetitive requests and making accessible a body of knowledge today scattered across folders and people’s heads.
Human oversight remains necessary
RAG reduces hallucinations, it does not eliminate them. The model can still misinterpret a passage or combine sources incorrectly. Hence some rules:
- For uses that touch on obligations, figures or decisions (taxation, contracts, amounts) the output must always be validated by a professional. A wrong answer about a rate or a deadline is costly.
- Answers to the public should cite the source, so the user can verify.
- A path must be provided for questions the assistant cannot answer with certainty: better an “I’ll put you in touch with a person” than an invented answer.
The decisive issue: data protection
A RAG assistant works on your company documents, which often contain personal or confidential data. Here the technology choice is also a compliance choice.
- Avoid uploading confidential documents to free public tools that may reuse the data.
- Prefer enterprise solutions that guarantee your documents are not used to train the models and that clarify where they are stored.
- Comply with the new Swiss Data Protection Act (nFADP): the processing of personal data of customers and staff requires attention to where and how it is processed, especially if the provider is abroad.
- Define which documents the assistant may index and for whom the answers are accessible, preventing confidential information from becoming visible to those who should not see it.
How to set up the project
An orderly path avoids the enthusiasm that leads nowhere: start from a precise area with many repetitive questions, put in order the documents that will feed the system (dirty material produces dirty answers), run a pilot on a limited case, measure how many requests are actually handled well, and always keep an exit route to a person. Better a reliable assistant on a narrow domain than an unreliable jack-of-all-trades.
How we work
SIH ONE is an AI-native fiduciary group: we use these techniques in our own processes and know both their potential and their limits. We help you understand where a RAG-based assistant genuinely makes sense in your company, set it up on an orderly document base and do so in compliance with Swiss data protection, with human oversight where it counts.
