The client portal: documents and data in one place

SIH ONE — Desk Technology · 02 February 2026

How many times have you searched for a document in an email chain six months long? How many different versions of the same file are circulating between you, your team and your advisors? The client portal exists to put an end to this problem: a single digital place where documents and data live, are kept up to date and stay accessible to those entitled to them. Let’s look at what it is, and what it should really do.

What a client portal is

A client portal is a private online space, accessed with personal credentials, in which the company and its advisors share, in a structured way:

  • Documents: contracts, invoices, receipts, tax returns, articles of association, minutes.
  • Accounting and tax data: up-to-date positions, deadlines, drafts in progress.
  • Communications: requests, approvals, notes linked directly to the document they refer to.

What sets it apart from a shared folder is structure and control: every document has a place, a status and a record of who uploaded or edited it.

Why it matters: the end of email as an archive

Email is a terrible archive. Files get lost between threads, versions multiply, and no one ever knows which is the final one. A portal solves three concrete problems:

  1. A single source of truth: there is only one current version of each document, and everyone sees it.
  2. No searching: documents are organised by type and period, not buried in an inbox.
  3. Continuity: if a staff member changes role or leaves, the documents stay in the portal, not in their personal mailbox.

The operational benefits for an SME

A well-used portal changes the administrative routine.

  • Direct upload of receipts: you snap a photo of a receipt or upload an invoice, and it lands right where it belongs for the accounting entry.
  • Deadlines under control: VAT, social security charges, closings, tax returns — all visible in a single calendar, with no risk of missing one.
  • Tracked approvals: whoever authorises a payment does so in the portal, and a record remains of who and when.
  • Access from anywhere: the data is not tied to a computer in the office, but securely available on the move too.

Security and compliance are not optional

A portal handles sensitive documents: financial data, contracts, employee information. That is why security is part of the substance, not an accessory. A serious portal must guarantee:

  • Personal access and differentiated roles: everyone sees only what concerns them.
  • Encryption of data in transit and at rest.
  • Traceability: a record of who did what, to challenge any anomalies.
  • A known storage location: knowing where the data resides is essential, especially when it comes to information subject to Swiss data protection law.

Then there is the matter of retention. Accounting documents must be kept for ten years under the Code of Obligations: a portal must ensure that electronic archiving preserves integrity and availability for that entire period, not simply “keep the files”.

What sets a good portal apart from a mediocre one

Having online storage space is not enough. A portal that adds real value is recognised by a few traits:

  • The data is not merely deposited, but processed: an uploaded receipt becomes an entry, it does not remain a static PDF.
  • The information is linked: the invoice is tied to the payment, the payment to the entry, the entry to the reporting.
  • The company owns its own data: it can export it and take it away whenever it wants, without being held hostage by the provider.

How we work

At SIH ONE the client portal is the operational hub of the relationship. Documents, accounting data and deadlines live in a single private space, accessible to you and your team with differentiated roles. The receipts you upload are pre-processed by our AI systems and turned into entries validated by a qualified professional, with archiving compliant with the ten years required by the Code of Obligations. The data is encrypted, tracked and always remains yours: exportable at any time.
