Automation and AI in business administration

SIH ONE — Desk Technology · 01 February 2026

Running a business is made up of repetitive tasks: recording invoices, reconciling payments, preparing statements, checking deadlines. It is exactly the kind of work where automation and artificial intelligence deliver the most. But between the promise and the reality there is a distinction to make: AI does not replace professional judgement, it feeds it. Let’s look at where it really works and where the hand of an expert is still needed.

Automation and AI are not the same thing

It is worth distinguishing two concepts that are often confused.

  • Automation: fixed rules that carry out predictable actions. “If an invoice arrives from this supplier, post it to this account.” It always does the same thing, without interpreting.
  • Artificial intelligence: systems that recognise patterns and propose classifications even for new data. “This document looks like a transport invoice, propose a consistent entry.”

The two work well together: AI interprets and proposes, automation executes what is already certain.

Where AI delivers concrete results

In administration there are areas where technology significantly reduces manual work.

  1. Document capture: AI reads invoices and receipts, extracts supplier, amount, date and VAT, and eliminates manual keying.
  2. Accounting classification: it proposes the correct account by learning from past entries, reducing the time spent on allocation.
  3. Bank reconciliation: it automatically matches payments and invoices, flagging only the exceptions.
  4. Deadline monitoring: it tracks VAT obligations, social charges and closings, giving warning before they become a problem.
  5. Anomaly detection: it spots off-scale amounts, duplicates or inconsistencies that a human eye might miss among thousands of lines.

The key point: AI proposes, the human validates

Here lies the difference between using AI well and using it badly. An AI system proposes a classification, a match, an entry. But responsibility for a correct account — and for the tax and legal consequences — remains with whoever signs it.

This is for two reasons. The first is technical: AI can get things wrong on ambiguous or new cases, and without a check the error propagates. The second is regulatory: Swiss accounting and tax returns require a responsible professional. AI speeds up the work, but it does not assume professional responsibility.

The correct model is therefore hybrid: the machine handles the volume, the professional handles the judgement. AI processes the thousands of repetitive lines; the expert focuses on the cases that require interpretation, on the tax choices and on quality control.

The limits to know

Adopting AI without understanding its limits leads to disappointment.

  • Dirty data, dirty results: if the incoming documents are of poor quality, the extraction will be too.
  • Rare cases: on unusual transactions AI has few examples to learn from and needs more supervision.
  • Transparency: you must be able to understand why the system proposed a certain classification, in order to challenge it.
  • Data protection: entrusting company documents to AI systems requires attention to where they are stored and how they are processed, in line with Swiss legislation.

What changes for the SME

The benefit is not just speed. It is quality of information. When administration is automated and the data are always up to date, the monthly close stops being a retrospective reconstruction and becomes a continuous snapshot. You can see margins, liquidity and deadlines in real time, and decide on the numbers instead of on gut feeling.

The time freed from repetitive tasks can be reinvested where it counts: analysis, tax planning, decisions. AI does not take work away from the entrepreneur, it takes away the work they never wanted to do.

How we work

SIH ONE is an AI-native fiduciary group: automation and artificial intelligence are part of the way we work, not an accessory. Our systems pre-process documents, entries and statements, but every result is validated by a licensed professional, who retains responsibility for the data. The result is accounting that is faster, more accurate and always up to date, with your data stored in a compliant and transparent way.

Do you want to see how much administrative work your SME could automate? Let’s do an analysis together.
