Choosing the right CRM for an SME

SIH ONE — Desk Technology · 04 November 2025

Many SMEs come to a CRM after a moment of frustration: a customer lost because no one called them back, a forgotten quote, information scattered across personal emails and Excel sheets. A CRM — Customer Relationship Management — serves exactly this purpose: keeping everything related to customers and deals in one place. But the market is full of solutions, and choosing the wrong one costs time and money. Let’s look at how to decide sensibly.

What a CRM is really for

A CRM is not a glorified diary. It is the system that answers three questions at any moment: who are our customers and contacts, where does each deal stand, what do we need to do next. When this information sits in a single shared base, the company stops depending on any one person’s memory.

The concrete benefits for an SME:

  • No forgotten deals: every opportunity has a status and a next step.
  • Continuity: if a salesperson is absent or leaves the company, the history remains.
  • Visibility: whoever leads the company sees the real sales pipeline, not verbal estimates.
  • Efficiency: less time spent looking for information, more time with customers.

The essential features (and the superfluous ones)

The number one risk is paying for features you will never use. For an SME, the essentials are:

  1. Contact and company management: complete records, with a history of interactions.
  2. Sales pipeline: deals displayed by stage, with value and probability.
  3. Tasks and reminders: who has to do what and by when.
  4. Integration with email and the calendar, because that is where much of the work happens.
  5. Basic reporting: how many open quotes, close rate, expected value.

Advanced features — complex marketing automations, sophisticated forecasting, integrations with dozens of systems — only make sense if you have the volume and the skills to use them. Otherwise they are dead weight that complicates adoption.

The most common mistakes

Choosing the most powerful tool instead of the most suitable one. An oversized CRM gets abandoned: too many fields, too many steps, and people go back to Excel. Better a simple tool that actually gets used.

Underestimating data entry. A CRM is only worth as much as the data it contains. If salespeople do not record interactions, the system is empty and useless. Adoption is an organisational issue, not a technological one.

Not thinking about integration. The CRM must talk to email, the calendar and, ideally, invoicing and accounting. A disconnected island doubles the work.

Ignoring the exit. Check that you can export your data if one day you change providers. Customer data is a company asset; it must not be held hostage.

Data protection: a criterion, not a detail

A CRM contains personal data of customers and contacts. In Switzerland, the new Data Protection Act (nDPA) requires attention to how this data is handled and where it is stored. Before choosing, ask yourself:

  • Where is the data hosted? A provider with hosting in Switzerland or in Europe simplifies compliance.
  • Does the provider clarify how it processes the data and who has access to it?
  • Can you manage the rights of the data subjects (access, erasure) without acrobatics?

This is not bureaucracy: it is the protection of an asset and the reduction of a legal risk.

A method for deciding

Before looking at products, write down what you need.

  • Map your real sales process: which stages a deal goes through, who does what.
  • List the “must-haves” — the three or four features without which the CRM is useless — separating them from the “nice-to-haves”.
  • Involve those who will use it: if salespeople do not find it convenient, they will not use it.
  • Test it in the field: almost everyone offers a trial. Test with real data for a week or two before committing.
  • Assess the total cost: licences, configuration, data migration, training. The monthly fee is only a part.

How we work

SIH ONE is an AI-native fiduciary group: we help SMEs choose and integrate the right digital tools for their size, connecting the CRM to the rest of the information system — from invoicing to accounting — so that data flows without double entry. The goal is not to have the most modern tool, but the one that people will actually use and that respects Swiss data protection.

Do you want to choose a CRM suited to your reality without paying for useless features? Let’s talk it through.
