Choosing an ERP/management system for an SME

SIH ONE — Desk Technology · 31 August 2025

An ERP — or, more simply, a management system — is a company’s nervous system: it gathers master data, orders, inventory, invoicing and accounting in one place. Choosing it well saves hours every week; choosing it badly turns every process into friction. The problem is that the decision is almost always made by looking at the wrong features. Let us see how to approach it methodically.

Start from processes, not from the feature list

Every vendor has hundreds of features and each one looks indispensable. It is not. The right question is not “what does this software do”, but “which are the three processes that today cost me the most time or generate the most errors”. In an SME they are usually the order-delivery-invoice cycle, inventory management and the handover of data to accounting.

Map these flows as they are today, then assess each candidate only against them. A system that covers 100% of marginal features brilliantly but handles your core process poorly is the worst choice.

Swiss-specific requirements

A generic ERP, or one designed for another market, creates concrete problems in Switzerland. Check that it handles natively:

  • Swiss VAT with the standard rate at 8.1%, the reduced rate and the special rate, plus correct handling of excluded and exempt transactions.
  • Multi-currency, indispensable if you invoice or purchase in euros and dollars as well as in CHF.
  • Multi-language, useful for documents in Italian, German and French.
  • Swiss chart of accounts (Käfer/SME scheme) and a clean export to the accounting software or the fiduciary.
  • QR-invoice, now the standard for collections.

A system that does not speak the Swiss tax language forces you into manual corrections that defeat the very purpose of automation.

Cloud or on-premise

For the vast majority of SMEs the answer is cloud (SaaS). It requires no in-house servers, updates itself, is accessible anywhere and shifts the cost from a large upfront investment to a predictable subscription. On-premise still makes sense in specific cases: particular data-control needs, very extensive customisations, connection to production machinery.

On the cloud, however, check where the data is stored. To comply with the Swiss Data Protection Act (nFADP), a provider with hosting in Switzerland or the EU and clear terms on processing is preferable.

The real cost is not the subscription

The licence price is the visible part and often the smallest. The total cost includes:

  • Implementation and configuration, which can be worth several months of subscription.
  • Data migration from the old systems, the most underestimated phase.
  • Training for people: excellent software used badly delivers nothing.
  • Customisations and integrations with the other tools (e-commerce, bank, CRM).

Always ask for a quote that spells out these items. A low subscription with an endless implementation is more expensive than a solution with an honest price.

Recurring mistakes

Some we see repeated regularly.

  1. Over-sizing: buying a large-enterprise ERP for a ten-person structure. Unjustified complexity and costs.
  2. Underestimating migration: thinking the data “will move on its own”. Dirty data in stays dirty.
  3. Not involving those who will use the tool: a choice imposed from above breeds resistance and partial use.
  4. Ignoring the accounting integration: if data has to be re-entered by hand into the accounting system, you have doubled the work instead of halving it.

How to structure the choice

An orderly path reduces the risk: define the critical processes, shortlist two or three candidates that cover them well, ask for a demo on your real data and not on made-up cases, verify the integration with accounting and bank, and plan migration and training before signing. Better a pilot project on one area than a total, immediate switch.

How we work

SIH ONE is an AI-native fiduciary group: we know both the technological side and the Swiss tax and accounting side, and this lets us assess a management system not only for its features but for how it integrates with VAT, the chart of accounts and the flows into accounting. We help you choose a solution sized to your reality, without paying for complexity you do not need.

Do you want to choose the right management system without getting the investment wrong? Let’s talk it through together.
